Can I share my registration with someone else in my organization?
Individual registrations cannot be shared. Connection details will be provided to each individual registrant by calendar invitation. These calendar invitations cannot be shared or forwarded. Full, 1-day, 2-day and 3-day registration rates are offered to provide maximum flexibility for our registrants.
Can I transfer my registration to someone else in my organization?
Registrants can transfer their registration to another individual in their organization if required, on or before May 6, 2021. Substitutions cannot be accepted after May 6, 2021.
To request a substitution, email us at education@omssa.com, being sure to provide the following information:
Full name and email address of original registrant (the person who will no longer be attending)
Full name and email address of new registrant (the person who will be attending in their place)
Once the substitution is confirmed, the new registrant will receive the appropriate calendar invitation(s). The original registrant will be removed from the calendar invitation and will therefore receive a cancellation notice. This does not mean that the conference is cancelled.
How do I complete a group registration?
You may register as many attendees you'd like from the same organization as a part of one registration and invoice. For registrations of five or more individuals, OMSSA is offering a 20% discount on registration rates (for members and non-members, and for all registration packages) when these individuals are registered at the same time.
To complete a group registration:
Coordinate with others in your organization to determine how many people you will be registering, and who these individuals will be.
Before registering, be sure that you have full names and unique, accurate email addresses for each person you would like to include in the registration. It is imperative that we have unique email addresses for each registrant, in order for each registrant to successfully receive their registration details.
When you are ready with the above information, proceed with the process by clicking the REGISTER button on our main conference page.
Follow the prompts to:
Enter contact details for the Billing Contact (invoice addressee / person responsible for making payment)
If registering five or more: Enter the OMSSAGROUP discount code on the Billing Contact page
Enter contact details for the First Attendee and select this individual's registration package
Enter contact details (names and email addresses) and choose registration packages for additional attendees to be included in the registration
If registering five or more: Once all attendees have been added, click "Apply Discounts and Finalize Registration" to apply the 20% discount
Review the information, and proceed to confirmation and payment
After a registration is completed, all individuals included in the registration will receive calendar invitations by email (within 2 business days of registering). Half-day calendar invitations will be provided for each day the participant is registered (May 11, 12, 13, and/or 14).
Connection details for all sessions will be provided within these calendar invitations in the days leading up to the conference. Calendar invitations and connections details cannot be forwarded or shared, so it is imperative that we have unique and correct email addresses for each conference participant.
If any registrant included in your registration does not receive a calendar invitation within two business days, please email us at education@omssa.com as soon as possible to verify that we have the correct email address for each registrant.
On the date(s) of the conference, registrants should keep their calendar item(s) open and handy. Everything you need to connect to each conference session will be available within the calendar invitation.
I've registered for the conference, but did not receive a calendar invitation. Is something wrong?
If you have completed a registration, but have not received a calendar invitation for the day(s) you are registered within two business days, it is most likely due to one of the following scenarios:
An incorrent or inaccurate email address was provided for the registrant
Your organization's IT and email restrictions have prevented you from successfully receiving the invitation
To rectify this:
Verify that the email address provided in the registration process was correct. If you are unsure, you can email us at education@omssa.com, noting the correct name and email address that should be included in the registration. If the email address was incorrect, we will update and resend the calendar invitation(s) to the correct email address.
Once we have verified that the email address is correct, if you are still unable to receive the calendar invitation, please consult your IT department to ensure that this invitation and sender (info@omssa.com) can be unblocked / marked as safe, so that you can successfully receive the invitation. Your IT representative can get in touch with us at communications@omssa.com if more details are required.
What time zone does the conference happen in?
All conference sessions are happening in Eastern Daylight Time (EDT).
Do I need to select and pre-register for the specific sessions I'm interested in attending?
No, you do not need to select or pre-register for the specific sessions you wish to attend. Conference registrants will have access to connection details for all sessions on the day(s) they are registered for, and may choose to connect to any session they are interested in attending on those days.
Will sessions be recorded? Can I access session recordings after the conference?
No, conference sessions will not be recorded. This conference will be a live, interactive event. OMSSA may choose to record individual sessions where required, but session recordings will not be made available after the conference.
Will conference presentation materials (slide decks, handouts) be shared with attendees?
Where slide decks and other materials are used, and where we have permission from speakers, OMSSA will share these materials after the conference on the conference website. Slide decks and materials will not be shared prior to the conference.
What are the technical / computer / system requirements to participate?
OMSSA will be hosting this virtual conference using Cisco Webex Events, an web-based, interactive platform that you can join straight from your web browser, or by downloading the Webex application on your computer or tablet. You can find tips for a successful connection and more detailed information on system and browser requirements on our Technical Requirements page.
Do I need to have access to a webcam and/or microphone to participate?
Access to a webcam and/or microphone is not required to participate in conference sessions. For the most part, participants will not be able or expected to participate by video/webcam. A microphone (either built-into or connected to your device) may be useful to fully participate in some sessions with more interactivity. Registrants without webcams and/or microphones on their devices will still be able to interact through chat and live polls.
Can I connect to the conference through a remote desktop / VPN?
If you are using a remote desktop (or VPN connection) to access your work computer from your home location, you may experience issues connecting to the conference sessions via Webex. We recommend disconnecting from your remote desktop / VPN before connecting to the sessions.
Yes, all sessions will include a Q&A box where you can type and send questions to speakers and hosts.
Participants will also be able to share comments and reactions through the chat box feature. Comments shared by chat will be visible to all participants, unless you choose to send a private message to the host.
Can I call in to conference sessions and/or access conference audio by phone?
While we recommend connecting to conference audio via your computer or device, participants will also have the option of connecting to the conference audio by phone. Participants can switch back and forth between computer and phone using the options including next to the mute/unmute button in the Webex platform.
If connecting to audio by phone, you will still need to be connected to the session via Webex to see the speakers and visual materials, and to access the Q&A, chat and polling features. When switching to audio by phone, you will be required to enter the session access code and your attendee ID #, which will be accessible to you within the Webex Events platform for each session.
Toll-free call in numbers are not available at this time. Webex provides the following local dial-in numbers for Ontario locations:
Toronto: 416-216-5643
Ottawa: 613-714-9906
Hamilton: 365-204-2000
London: 226-828-9662
Those outside these areas may still use the call-in numbers above, but these calls may be subject to long-distance fees, depending on your phone service. To avoid calling fees, we strongly recommend connecting by your computer audio.
Detailed instructions on switching to conference audio by phone can be found on pages 4-5 of our Technical Troubleshooting Help Sheet (PDF).
What can I do ahead of the conference to avoid technical issues?
It’s important that each of our attendees can successfully join and participate in the conference. Due to the large number of expected attendees, OMSSA may be unable to provide one-on-one technical support inside the conference sessions. Thankfully, there are some simple things you can do ahead of the conference to set yourself up for a successful connection:
Download the Webex Desktop App: It is highly recommended that you download the Webex Meetings desktop application ahead of the Forum, to ensure that you can connect successfully and have full access to all session features (chat, polling, etc.).
Download the Browser Extension for Google Chrome or Microsoft Edge: If IT restrictions prevent you from downloading the desktop app, you can also join through your web browser. We recommend using Google Chrome as well downloading the Webex Extension for Google Chrome before you join. A Webex extension is also available for Microsoft Edge.
Consult your IT Department: Planning to join using your work-issued computer or laptop? If you’re worried about connection issues due to corporate IT restrictions, we suggest that you contact your IT department ahead of time to verify that you have what you need to successfully connect to a Webex event.
What should I do if I experience technical issues during the conference?
Due to the large number of expected attendees, OMSSA may be unable to provide one-on-one technical support inside the conference sessions.
If you experience any issues at the conference, we encourage you to consult our Technical Troubleshooting Help Sheet (PDF) for common issues and possible solutions. If you continue to experience issues, please email us at education@omssa.com and our team will do their very best to support you.
