Junior Events and Education Coordinator (Ontario Municipal Social Services Association (OMSSA)



POSITION PURPOSE

To provide administrative and event coordination support to the Association’s Education and Events Department.
 

ACCOUNTABILITIES AND RELATIONSHIPS   

Reports directly to the association’s Director of Education. Provides general administrative support including clerical functions, general office management for the following positions of the Association:
  
  • Director, Education  
  • Manager, Content Development
 
Coordinates and works in partnership with the Communications Manager in conducting this work.
 

PRIMARY DUTIES AND RESPONSIBILITIES 

The following describes the general nature and level of work being performed. This is not an exhaustive list of all job duties. Other duties may be assigned. 
 
Office Administration / Clerical Duties:
  • Calendar management for all training and events, including calendar invitations for participants, facilitators and speakers
  • Monitoring education@omssa.com email, answering general inquiries and forwarding all other inquiries to appropriate staff
  • Supporting Director of Education to ensure all training files are maintained and current
  • Lead training and event registration
  • Work with the Manager of Content Development to support speakers prior to and during events (virtual and in person)
  • Working with Communications and Member Engagement Specialist to keep training and event information and registration up to date on the OMSSA website
  • Working with Communications and Member Engagement Specialist on weekly marketing campaigns for training and events
 
Event Coordination/Administration and Implementation (in-person):
  • Lead registration pre-event and on site
  • Work with Communications and Member Engagement Specialist on design and print of badges, signage and programs
  • Work with Manager of Content Development to schedule planning calls and to support speakers in preparation for event
  • Work with venue on catering, room set up and AV requirements
  • Assist with special events such as awards banquet and networking activities for OMSSA Exchange
 
Event Coordination/Administration and Implementation (virtual):
 
  • Lead registration and calendar invite process
  • Set up virtual event in platform
  • Work with Manager of Content Development to schedule planning calls and to support speakers in preparation for event
  • Lead event production and execution
  • Work with Communications and Member Engagement Specialist on marketing
 
Training Coordination/Administration and Implementation (in-person & virtual) 
 
  • Lead Education calendar activities by populating all training and events, sending calendar invites and materials
  • Lead set up of virtual training sessions on Zoom, Webex and/or Teams
  • Monitor registrations for all training sessions and send regular calendar invites to new registrants
  • Open and support as needed virtual training sessions
  • Work with Communications and Member Engagement Specialist on marketing
  • Work with OMSSA facilitators to ensure materials are up to date, send participant lists prior to training
  • Send materials to print (in-person)
  • Work with Director of Education on venue selection
  • Lead logistics for training (catering, room set up, AV) (in person )
  • Be on site or work directly with on site contact to support facilitator with set up, ensure catering arrives, clean up etc. (in person)

QUALIFICATIONS   

Education 
  • Minimum Diploma in Event Management, equivalent program or experience.
 
Knowledge, skills and abilities 
  • Excellent organizational skills and attention to detail
  • Proven project management and planning skills
  • Excellent written, customer service and oral communication skills
  • High degree of tact, professionalism and customer-focused mindset
  • Ability to troubleshoot, multitask and solve problems proactively
  • Understands the role and dynamics of not-for-profit organizations; experience and/or familiarity with municipal social services and municipal government in Ontario
  • Sound knowledge of business and communication software applications and use of technology to support effective communications
  • Detail-oriented, comprehensive and focused in order to ensure timely, accurate information.
  • Independent, organized and proactive in order to ensure goals and objectives are met.
  • A diplomatic team player who supports and promotes a positive work environment. Ability to travel and work outside of business hours as necessary.  Relationship management and people skills are crucial.
  • Ability to work well under pressure and to manage multiple priorities.
  • Knowledge of social services, non-profit governance and municipal government
  • Knowledge of venues and catering
  • A valid Ontario driver’s license and use of a vehicle
 
Demonstrated proficiency in: 
  • Word processing (Microsoft suite of products or equivalent)
  • Email (Microsoft Outlook and Calendar)
  • Database management software
  • Virtual platforms (Zoom, Webex, Teams)  
 
Experience 

Two to three years’ experience in related work.   
Experience working in a member-based association, municipal government, or social services would be an asset.
 
Working Conditions 
This is a general office setting in downtown Toronto. Currently a mix of remote and monthly in-office work  meeting
