The Senior Payroll Administrator is responsible for the Payroll Administration functions for the entire Association in accordance with applicable government legislation, YWCA policies and procedures, Union, and external funders’ agreements. This position is also responsible for overseeing the responsibilities of the Payroll and General Accounting Administrator on a day-to-day basis.

KEY RESPONSIBILITIES

  • Prepares, inputs and maintains current employee records as they pertain to payroll on the computerized payroll system from source documents;
  • Administers the computerized payroll system process, advises Ceridian of scheduled pay run dates, changes and/or modifications;
  • Confirms and verifies accuracy of payroll reports generated by the Payroll system and distributes related documents;
  • Prepares monthly trial balance, accruals, payroll cost and benefit entries and inputs into the accounting system within established cutoff periods. This involves preparing a detailed report of salary expenses across the Association with the correspondent program account;
  • Administers the Association’s multiple WSIB and EHT classifications and accounts; processes monthly submissions and allocates expense costs to program budgets; informs appropriate Agency of changes to the reporting structure and the establishing of new accounts; Senior Payroll Administrator, Finance and Information Technology
  • Processes statutory remittances, benefit premium calculations, pension remittances and year-end reporting while establishing priorities within strict mandated and multiple timelines;
  • Prepares and processes yearly T4, T4A, WSIB and EHT reporting, adhering to filing deadlines so as to avoid fines, penalties or other consequences to the Association.

QUALIFICATIONS

  •  General knowledge of an academic or technical discipline normally acquired through completion of a community college diploma (e.g. Business Administration) (Cases for Equivalency will be considered);
  •  5-7 years directly related work experience;
  •  Completion of Level 3 of the Payroll Management Certificate Program;
  • Comprehensive computer skills in a Windows environment with a working knowledge of Dynamic GP, Microsoft Office applications and computerized payroll applications;
  •  Knowledge and experience working with Ceridian Dayforce an asset;
  •  Understanding of federal and provincial payroll regulations and requirements;
  •  Excellent customer service and communication skills;
  •  Ability to work independently in a time sensitive environment;
  •  Excellent attention to detail and takes ownership of their work;
  •  Must be able to handle confidential information in an ethical and professional manner.

Note: Vacation may not be taken during schedule audits (approximately 3 weeks/year).
