This position provides program and project support to the Housing Development Office (HDO) Division. This role will enable the success of the team and will provide administrative and project support to various projects relating to HDO.   
 

Responsibilities: 

  • Coordinates and supports the activities of the program/projects.
  • Maintains and monitors workplans and program/project plans including the project reporting schedule, key messages and Change Management Plan.
  • Monitors program/project scheduling conflicts and implements solutions to prioritize the work.
  • Receives and actions inquiries of a routine and non-routine nature from internal and external sources including staff, stakeholders and the public.
  • Collects, compiles and analyzes research, information and data to inform the work.
  • Coordinates, schedules and is responsible for all logistics related to program/project meeting and facilitates stakeholder information sessions as required.
  • Creates and implements methods and tools to facilitate effective collaboration between project team members.
  • Prepares and/or reviews detailed program and project documents including various project plans and presentations.
  • Responsible for the ongoing improvement and maintenance of the program website and associated pages.
  • Processes, tracks and reconciles program expenses including payments to consultants and other vendors, express purchase orders and p-card purchases.
  • Responsible for the organization and upkeep of the program/project Microsoft Teams, SharePoint and related software programs, filing structure and permissions
  • Participates in meetings, records minutes and action items and coordinates all follow-up activities.
  • Organizes and/or coordinates various projects and initiatives; gathers information from a variety of resources for the team to review.
  • Coordinates the preparation of reports and documents for the team.
 

Qualifications:

  • Post-Secondary Diploma in Business, Business Administration or Office Administration with at least 2 years of administrative experience or an equivalent combination of education and experience.
  • Must have at least 6 months experience working in a Project Management environment.
  • Ability to apply discretion and confidentiality on issues.
  • Ability to work in a self-directed manner within a collaborative team environment.
  • Ability to work with all levels of staff and stakeholders (internally and externally).
  • Committed client service focus with a high degree of tact and diplomacy.
  • Demonstrated critical thinking skills.
  • Excellent verbal communication skills to interact effectively with management, staff, clients, stakeholders and members of the public.
  • Strong written skills needed for minute taking, creation of key program/project documents and correspondence.
  • Ability to effectively compile and analyze large amounts of information.
  • Detail oriented to ensure a high standard of professionalism.
  • Effective time management and organizational skills and the ability to deal with shifting/changing priorities and competing demands.
  • Proven ability to problem-solve and be pro-active.
  • Strong knowledge of the HS department’s structure, programs and services.
  • Some knowledge of corporate administrative systems, policies and procedures, organizational structure and major corporate and departmental activities an asset.
  • Strong technical knowledge to be able to seek out and introduce needed technologies to the team.
  • Proficiency in Microsoft MSOffice applications including MSOffice (Word, Powerpoint, Excel), MSProject, HRMS, Visio and PowerBI; knowledge of in-house HS software applications an asset
 
Location: Due to Covid-19, some of our offices are working at limited capacity to protect the health and safety of our employees, clients and community. As such, this position will be required to work remotely for an undetermined period. Once working onsite, you will report to 10 Peel Centre Drive, Brampton.

Hours: 8:30am-4:30pm; Monday-Friday
