Job Summary
The Administrative Assistant, Quality and Community Development is responsible for administratively supporting the Quality and Community Development department of Community Living Mississauga. Working under the guidance of a Director, this position is responsible for ensuring a high quality of administrative support is being provided while ensuring compliance with all applicable regional and provincial laws.

Key Responsibilities
  • Completes essential job duties thoroughly in a timely manner as per established target dates
  • Remains current and informed regarding broader organizational information
  • Knowledgeable and pursues resources available in the community
  • Demonstrates proficient use of technology
  • Demonstrates independent problem solving skills
  • Responsible for the formatting, typing, grammar, spelling and proof reading of all correspondence to be sent by the Manager/Director
  • Responsible for the professional documentation of and general administrative support for team meetings, trainings, workshops etc. (i.e. minutes, agenda, photocopying)
  • Responsible for providing general administrative support to Director's team (i.e. formatting letters, photocopying, training registration, maps, processing invoices, purchase of supplies, etc.) as required
  • Coordinating administrative functions of the Abila FR50 database system including: improving/maintaining database integrity; updating constituent information; producing reports; developing queries; mailing list processing to create merge files; processing gifts/event registrations/memberships; generating official income tax receipts for both the Association and the Foundation, thank you letters and deposits
  • Prepares resource materials and provides administrative support for community development events
  • Prepares the Board of Directors packages and provides other administrative support as required.
  • Responsible for the completion of creating, tracking and sending receipts for donations, fundraising, gifts in kind, etc.
  • Provides administrative support for the various database maintenance/tracking for Director's team
  • Responsible for the preparation of mailings/letters/thank you letters as required for fundraising, events or as per Director
  • Attends Senior Management meetings regularly and participates as administrative support as required
  • Maintains complete confidentiality and professionalism in relation to Senior Management meetings and the information discussed within
  • Prepares for and maintains documentation as requested by Senior Management in a timely, confidential and professional manner
  • Performs other duties as assigned

Qualifications
  • A recognized certificate or Community College diploma in Office Administration or Business
  • A minimum of 3-5 years full time relevant work experience at an administrative level in a non-profit or charitable organization
  • Independent decision making and problem solving capabilities
  • Demonstrated ability to apply time management skills in a fast-paced environment
  • Prior experience working with non-profit/charitable organizations and/or in resource development/volunteer management
  • Excellent analytical, interpersonal and communication skills (oral and written)
  • Previous experience with file management and office administration
  • Advanced skills in computer program use including Microsoft Office (Word, Excel, Outlook, Access and Power Point).
  • Demonstrated proficiency in a fundraising database such as Abila FR50 is required
  • Experience with Adobe Suite, Mailchimp and CanadaHelps is required
  • Flexibility and adaptability are essential
  • Current valid First Aid/CPR certificate is required Must have a Valid Ontario Driver's License (Class G or G2) and access to a reliable vehicle and Insurance
  • Fluent in French (or additional second languages) an asset
