Job Summary
The Administrative Assistant, Residential Support is responsible for administratively supporting the Residential Services Department of Community Living Mississauga. Working under the guidance of a Director, this position is responsible for ensuring a high quality of administrative support is being provided while ensuring compliance with all applicable regional and provincial laws.

Key Responsibilities
  • Completes essential job duties thoroughly in a timely manner as per established target dates.
  • Remains current and informed regarding broader organizational information
  • Knowledgeable and pursues resources available in the community.
  • Demonstrates effective use of technology
  • Demonstrates independent problem solving skills
  • Responsible for the formatting, typing, grammar, spelling and proof reading of all letters/communication to be sent by the Manager/Director.
  • Completion of the administrative tracking and entering of all legislative requirement information (i.e. Fire drills, monthly critical etc.)
  • Tracks service agreements and notifies Director in a timely manner of any discrepancies.
  • Responsible for the professional documentation of and general administrative support for team meetings, trainings, workshops etc. (i.e. minutes, agenda, photocopying).
  • Responsible for providing general administrative support to Director's team (i.e. formatting letters, photocopying, training registration, processing invoices, purchase of supplies, etc.
  • Responsible for the completion of AIMS Database and central file documentation management for Director's team.
  • Ensures employee information, emergency back-up lists etc. are current and up to date based on information provided.
  • Responsible for tracking invoices and expenditures as required and meeting accounting deadlines.
  • Responsible for supporting the work of other organizational departments (i.e. property management, data management) as required
  • Tracks ad hoc documentation as requested by Director related to team, individuals supported or general agency data.
  • Distributes minutes, communication documents requested by Director to Managers
  • Tracks documentation due, etc. to ensure completion
  • Provides back-up for reception desk as required
  • Performs other duties as assigned

Qualifications
  • A recognized certificate or Community College diploma in Office Administration or Business
  • A minimum of 3-5 years full time relevant work experience at an administration level in a non-profit or charitable organization preferred
  • Independent decision making and problem solving capabilities
  • Demonstrated ability to apply time management skills in a fast-paced environment
  • Excellent analytical, interpersonal and communication skills (oral and written)
  • Previous experience with file management and office administration
  • Advanced skills in computer program use including Microsoft Office (Word, Excel, Outlook, Access and Power Point).
  • Demonstrated proficiency in database management
  • Flexibility and adaptability are essential
  • Current valid First Aid/CPR certificate is required
  • Must have a Valid Ontario Driver's License (Class G or G2) and access to a reliable vehicle and Insurance
  • Fluent in French (or additional second languages) an asset
