Executive Coordinator (NOSDA)

The Northern Ontario Service Deliverers Association seeks a highly motivated professional to fill the position of Executive Coordinator for the Association. The Executive Coordinator will work with the NOSDA CAO and Executive group to coordinate and consolidate NOSDA member strategic issues to represent one Northern position as a champion of Human Services for DSSABs/CMSMs in Northern Ontario. The Executive Coordinator will assist the NOSDA CAOs with the engagement of federal, provincial and municipal stakeholders to ensure a continued focus on NOSDA issues and positions. The Executive Coordinator will coordinate and provide support services in report writing, communications, agenda, events and activities on behalf of NOSDA, including the NOSDA Annual General Meeting.

Qualifications and Experience

  • Completion of a relevant post-secondary degree, diploma or certificate in Public Administration or Business Administration, or an equivalent combination of education and experience.
  • 3 to 5 years of senior level administrative or other related experience, with developed business and political acumen.
  • Demonstrated ability to work positively and professionally with the public, and various elected officials and representatives.
  • Demonstrated ability to facilitate the development of a cohesive position on issues based on consultation within the CAO Group and Executive.
  • Experience in planning and managing large events and providing administrative support.
  • Proven skills and experience in all aspects of communications including, writing, editing media and public relations documents, development of social media and course content, marketing the organization, its members and activities and communicating with a broad range of stakeholders.
  • Demonstrated ability to multitask, be self-directed, make decisions, and to meet deadlines and changing priorities while maintaining a high level of performance.
  • Excellent organization, planning, written, oral and interpersonal communication skills.
  • Experience working at a Federal, Provincial and Municipal government preferred.
  • A high degree of knowledge and competence in using all Microsoft Office applications, website administration and social media experience at the advanced level.

Bilingualism (French/English) is considered an asset.

SCOPE OF WORK

Position: NOSDA Executive Coordinator

Accountability: Reporting to the NOSDA Executive and CAO Group

SUMMARY

Under the direction of the NOSDA CAO group through the CAO Lead, the Executive Coordinator will coordinate and consolidate NOSDA member strategic issues to represent one Northern position as a champion of Human Services for DSSABs/CMSMs in Northern Ontario. The Executive Coordinator will assist the NOSDA CAOs with the engagement of provincial and municipal stakeholders to ensure a continued presence of NOSDA issues and positions. The Executive Coordinator will coordinate and provide support services in communications, events and activities on behalf of NOSDA, including the NOSDA AGM. The Executive Coordinator is an integral part of the NOSDA CAO team in keeping NOSDA alive, active and relevant.

SPECIFIC DUTIES/RESPONSIBILITIES

Under the direction of the NOSDA CAO Executive Committee, the Coordinator will execute the following duties:

  • Assume the role of policy advisor to the NOSDA CAO group, including facilitating and preparing position/issue papers, and conceptualizing, drafting and the development of position papers for pushing forward to Provincial groups.
  • Under the direction of the NOSDA CAO’s, prepare and create relevant position and issue papers.
  • Responsible for advising on political positioning, co-ordination and advising from a strategic perspective for NOSDA, this involves the identification of opportunities and strategies for moving issues forward and assisting in the development of follow up positions.
  • Conducts environmental scans of the political social economic environment, stay abreast of and identify emerging issues and trends that may be of concern or interest to NOSDA, including identifying possible project funding opportunities.
  • Responsible for strategic planning for NOSDA, keeping NOSDA relevant and alive.
  • Assume the role of the NOSDA contact representative for Municipal or Provincial organizations seeking information.
  • Facilitating the update of documents and coordinating the information from the various leads, CAO’s and Manager Groups.
  • Administrative and logistic work relating to organizing monthly teleconferences and face to face meetings of NOSDA members. Collecting and organizing information.
  • Coordinate collect items and prepare and circulate meeting agendas.
  • Responsible for Annual General Meeting planning, event planning from conceptualizing agenda, contacting political invitees and organizing the event as follows:
    • This involves organizing meetings with the CAO’s, identifying political issues, providing advice on the theme, and advice on approaches for a successful AGM. Provide advice on political participants to invite and advice on dates and locations to hold the event. Prepare draft agendas and take and keep notes of all planning work.
    • In preparation of the event, having knowledge of NOSDA and DSSAB issues, and knowledge of political workings at the Provincial and Municipal level must be considered.
    • Search out and secure sponsorships and funding assistance for the AGM.
    • Planning and coordination of guest speakers and preparation of invitation letters to speakers. Maintain effective communication with invitees, including provincial and municipal political representatives.
    • Assume the role of ambassador/representative for the NOSDA AGM Event, including hosting and overseeing the event.
    • Responsible for the development and maintenance of the NOSDA website, and a Social Media presence. Responsible for maintaining with current and relevant information.
