JOB SUMMARY 
The Finance Administrator, under the direction of the Assistant Manager of Finance, will primarily be responsible to maintain an accurate and complete trail of supporting documentation for all activities. This position will be administering the New Simplified Rent Geared to Income program in accordance with the Residential Tenancies Act (RTA). Providing support and ensuring adherence to the mission statement, policies and procedures of Homes First Society.

JOB REQUIREMENTS
  • Attend regularly scheduled meetings with the Housing department to ensure all requirements are met according to schedule, including Annual Income Reviews and arrears follow up.
  • Prepares monthly financial reports for the organization as needed.
  • Perform Mid-Year and Annual Income Reviews.
  • Notify Finance department and ICMW of any Annual Income Review changes.
  • Maintain Annual Income Review Files in accordance with RGI guidelines, in chronological order, including updating file tenant Annual Income Review outcomes.
  • Keep informed of changes in the Residential Tenancies Act, Human Rights Act and Rent Supplement program.
  • Checking mail daily and ensuring it is distributed to appropriate departments.
  • Undertake special projects as assigned by the manager.
  • Perform administrative duties as necessary.
  • Ensures that the Health and Safety guidelines are followed in accordance with Homes First’s policies and procedures.
  • Drafting letters addressed to tenants regarding arrears.
  • Liaison with the Housing department to prepare/file LTB notices and applications for arrears
  • Attend Landlord Tenant Board tribunal hearings.
  • Responsible for depositing all physical rent cheques. This includes going to all housing locations once per month, collecting rent cheques from designated rent box, and ensuring they are deposited same day.
  • Updating Pre-Authorized Debit payments from tenants • Issuing market rent increases annually to tenancy paying market rent.
  • Demonstrated ability to work independently.
  • Interpersonal skills and ability to work in a team.
  • Knowledge of tenant population, diversity issues, anti-discrimination practices and systemic reasons for homelessness.
  • Demonstrated ability to communicate effectively in English, both verbally and in writing.
  • Ability to communicate, both verbally and in writing, in languages other than English an asset.
  • Other duties as assigned.

QUALIFICATIONS
  • Post-secondary education in business, finance, accounting, or a related field, or equivalent designation/experience.
  • Complete required courses to maintain the position.
  • Ability to learn & implement procedures and guidelines in accordance with the Residential Tenancies Act.
  • Knowledge and experience in managing computer systems.
  • Excellent communication skills, both written and verbal.
  • Excellent organization and time management skills.
  • Proficient in Windows based word processing and spreadsheets.
  • Demonstrated ability to work independently.
  • Excellent interpersonal skills.
  • Demonstrated ability to communicate effectively in English, both verbally and in writing.
  • Knowledge of tenant population, diversity issues anti-discrimination practices and systemic reasons for homelessness.
