Duties:

  • Reports to the Manager of Housing. Performs administrative, clerical, customer service and record-keeping duties within the Housing Division.
  • Greets public and tenants, provides general information; responds to telephone, in person or electronic inquiries; takes and relays messages to the appropriate person or department; orders office supplies; contact with contractors & suppliers.
  • Performs data entry on automated (YARDI and Property Management) and other systems, including, but not limited to landlord, tenant and property management information, move-in/move-out records, correspondence, department databases, mailing lists, invoices, purchase orders, work orders, payables, rent arrears and maintenance.
  • Photocopies and collates documents for distribution, mailing and filing.
  • Receives and processes rental payments and issues receipts in accordance with established procedures.  
  • Prepares daily bank deposit and related records (cash, cheques, pre-authorized payments).
  • Processes charges to tenant ledgers.
  • Follows up with former and current tenant arrears with Credit Companies.
  • Maintains department record keeping/filing systems according to record retention and disposal systems.
  • Receives, verifies and processes all housing invoices, rent subsidy provider payments and utility pre-authorized payments, in accordance with established procedures.
  • Prepares and circulates statistical and other reports in accordance with established procedures.
  • Prepares and processes Landlord Statements.
  • Processes incoming and outgoing manual and electronic mail.
  • Orders office supplies and maintains inventories.  Arranges for servicing/repairs to office equipment or machinery as required.
  • Updates/maintains Excel reports
  • Assists in maintaining a safe work environment.
  • Performs other related duties as assigned.

Qualifications:

  • Community College Diploma (1 year) in Office Administration or Social Services.
  • Minimum 3-6 months related professional experience.
  • Ability to use standard and specialized software/electronic operating systems
  • Knowledge of related provincial legislation, policies and procedures including the Residential Tenancies Act and the Housing Services Act.
  • Testing will form part of the qualifications
